FateLeague privacy

Draft for review. This text is not in force yet.
Who is responsible
[OPERATOR NAME], [OPERATOR ADDRESS] runs FateLeague. Questions and requests: [SUPPORT EMAIL], or Ask staff in the Fate League Discord.
What we keep
From Discord, when you use the bot: your Discord user id, your display name in that server, your avatar’s id, the server, and when you joined or left it.
What you give us: your settings, your in-game name for each game, your event entries, decklists and deck screenshots, results you report, flags and their notes, and your tickets: the topic, what you wrote when you opened the ticket, and the resolution note staff add when they close it.
What the bot creates: your results, placements, points and ratings; your collection and the version of the house rules you accepted; and a short record of each command (which command, when, whether it worked and how long it took).
In the Fate League server only: when you join or leave it, and when you leave, the server roles you held, the games you chose, how many events you played and whether you held a seat in an upcoming event. If fateleague.com’s sign-in added you to the server, the page you signed in from (its address only, nothing after it). This feeds a private staff room about who arrives and who leaves.
What we never keep: the content of your messages in Discord, ticket channels included. The bot does not read messages: a ticket’s transcript holds only what you wrote when you opened it, the bot’s own posts in the channel and the resolution note. We also never keep your real name, your email address, your age or birthday, any identity document, your location, or Discord’s sign-in tokens.
Why
To run the events you enter and your collection, to answer your tickets, to keep the bot safe and fair, to send the pings and DMs you asked for, and to count how the bot is used, as totals only.
Who sees what
Everyone in the server sees packs you open in the rip room with your display name, match requests you post, pairings and results, champions and set completions, and decklists after the deck lock. Everyone on fateleague.com sees results, rankings and your handle.
Only you see your settings, your wishlist, your guarantee progress and your Starlit serial numbers. The server’s staff see what they need to run events and help you. Your opponent sees your in-game name during your match. Partner game developers see totals only, never names.
The Fate League server’s staff see a private arrivals and departures room: Discord’s own line when someone joins, and the bot’s line when someone leaves, with the details above. The bot deletes both lines 35 days after they were posted; to find Discord’s, it reads only each message’s id and type there, never what it says or who wrote it. Staff use the room to ask a few people back personally, never to post about who left. Only totals, such as how many joined through a partner’s invite, ever leave that room.
Companies that host the bot for us process data only to run it: Supabase and Vercel in the United States, Discord, Sentry for reports of faults with personal details removed, Cloudflare for encrypted backups, Healthchecks.io for uptime checks and Telegram for fault alerts to staff phones. Healthchecks.io and Telegram receive no personal data.
We never sell your data, never use it for advertising, and never share it with anyone else unless the law requires it.
How long
Interaction tokens for an unfinished pack: 15 minutes at most. Ticket channels: deleted 7 days after the ticket closes. Ticket transcripts and ticket details: 90 days after the ticket closes, on every plan.
The command record: 90 days, then only daily totals. The text of the bot’s posts in our records: 30 days after delivery. Daily member lists of the Fate League server: 35 days, then only join and leave dates. Join and leave records, the roles you held when you left, the sign-in page and the staff room’s lines about you (Discord’s join line and the bot’s leave line): 35 days, then only daily totals. Fault reports and backups: 30 days.
Your settings, in-game names and wishlist: until you delete them or delete your data. Results, rankings and the collection ledger: kept as the league’s record, without your name if you delete your data.
Your choices and rights
Change your settings with /settings. Get a copy of your data by asking in a ticket; a Download my data button in /settings follows. Ask in a ticket to correct something wrong.
Delete your data by asking in a ticket, or with Delete my account in your settings on fateleague.com once the new site is live; we act within 7 days. We delete your Discord link, names, settings, in-game names, wishlist, tickets, transcripts, deck screenshots, your join and leave records and the staff room’s lines about you. Your past results and cards stay as an anonymous record, shown as Former player, so other players’ results stay correct. We edit the bot’s own past posts we can find to say Former player; posts we cannot find, and anything Discord itself keeps, stay.
You can also complain to your data protection authority. Please tell us first at [SUPPORT EMAIL].
Children
Discord requires everyone to be at least 13, or older where a country sets it. FateLeague cannot see your age and never asks for it, so its defaults suit the youngest member: pings and DMs off until you switch them on, nothing that rewards days in a row, no pressure, no ads, nothing sold.
If you think a child under Discord’s minimum age is using the bot, tell staff in a ticket: we remove them from events, delete their data and report the account to Discord.
Changes
When this page changes, the date at the top changes and the change is announced in the Fate League Discord.
